Task B 1. As secretary of the country’s athletic association or sports department or a different sports organizing committee in charge of hosting the event, you are to prepare a mail merge letter to send to each parent informing them of their child’s participation (ie. when, where, time). It must also show the cost the child is pay before hand and the grant amount the child will receive from a named sponsor. You will also state the purpose of the meet, the schools participating and the races that will be run. Indicate where the athletes will assemble, at what time and if there are any bus arrangements. You will use a suitable table from your database as the data source.
This letter should consists of 2 or more paragraphs. The last paragraph should give the time the meet will end and tell the parent where the child should be picked up. It should also thank the parent for his/her interest assistance or cooperation towards the success of the meet or for allowing the child to participate.
The letter should also include the following a) Block format (ie. all sections left aligned. No indents.) b) The letter should have a left margin of 1.5 inches (3.75cm) and a right margin of 1 inch (2.5 cm) c) A list of 3 or 4 invitational races open to the public. Invite the parent to participate in these. d) Include a table of records for the races from 100m to 800m showing the athlete’s name, time and the year the record was set. (Tables should have a sentence above it indicating what is being displayed). Center the table. e) The paragraphs in body of the letter should be fully justified and have 1.5 line spacing. f) Create a suitable letterhead for the organisation with a suitable logo (or small image). It should be inside a header but should only appear on the first page. If you have a second page copy only the logo to its header. g) Insert an appropriate footer
