Patient Billing System Abstract
ABSTRACT This project is aimed at developing a "Patient Billing Software System" (PBS) which is important to a hospital for tracking the information and records of the inpatients and outpatients of the hospital. This Project “Patient Billing Software” is a solution to Apollo Hospitals for billing and storing the information about the patient by computerization. So, the information can be available in all the branches of Apollo Hospitals Group. This system can be used to maintain the location(bed number) of each patient either in the ward or the ICU. Information about the patient condition, report results track record and the charges to be paid is also stored. Patient billing system handles all types of billing processes in the long run. This system gives the information about inpatient, outpatient, registration etc. This patient billing system helps in automatic posting of charges pertaining to various services including lab test, food and beverage, bed charges etc. The patient billing system is a flexible solution for efficient billing without manual errors and time consumption. It is capable of handling and recording various payment types such as cash or credit, partial or full payment and dues or defaulters.

ORGANIZATION PROFILE: Apollo Hospitals is a major hospital chain based in Chennai, India. It was founded by Dr Prathap C. Reddy in 1983. Apollo is a private healthcare provider in Asia with hospitals in India, Sri Lanka, Bangladesh, Ghana, Nigeria, Republic of Mauritius, Qatar, Oman and Kuwait. The Hyderabad hospital, headed by Dr. K. Hari Prasad, (CEO – Central, Apollo Hospitals Group). The group has developed services in telemedicine, after starting a pilot project in 2000 in Dr Prathap C. Reddy's own home village. It is now the largest telemedicine provider in India with 71 centers.

    The ten steps to the medical billing process can be categorized into three main groups. These three groups are the visit, claims, and post-claims processes. When it comes to the visit category, this category has a great deal to do with the patients personal information getting the patient established, such as pre-registering the patient. This is the process when we use the HIPPA privacy act to help gain the trust and confidence of the new patients and returning patients to our office. Also, we have the step that we take to inform the patient of his or her obligations to pay this is another form of the HIPPA act that we must follow when it comes to the patient’s personal information such as finances. The claim category uses the help of the ICD, CPT, and the HCPCS billing strategies to help ensure that we are doing all that we can to fully utilize the patients insurance and to better suit the patient. When using these forms we are reviewing the coding compliances. We are also checking billing compliances, when we are made responsible for billing the correct information and codes to the insurances that are involved. In the claim category we are also made aware that we must follow any rules that the proper billing and coding standards set for us. Preparing and submitting the claim is the key to success in any office this is why this process is so important to follow. The last category of the steps that we come to is post- claims where monitoring payer adjustments, generate patient statements, and follow up with patients payments along with any collections. This step brings us back to following any HIPPA regulations when it comes to collecting payment and gathering information for collections. This privacy act must be acknowledged at all times and followed to ensure that you get paid and the patients can not complain. These ten steps are pre-register patients, establish financial responsibility, check in patients, review coding compliance, review billing compliance, check out patients, prepare and transmit claims, monitor payer adjudication, generate patient statements, and follow up payments and collections. When you bill a patient you want to be sure that you are not only doing it correctly but that you are charging or sending the bill to the right person whether it be the patient or the patients’ insurance company. With the ten steps to the medical billing process you want to make sure that you are doing it in the correct order. First you want to make sure that you are pre-registering the correct patient and that you are inputting their information as well as their insurance information in the system correctly. After this has been completed you are now able to schedule appointments for this patient. The next step in the process is to establish financial responsibility (who is paying for the medical bills), whether it be the patient or the insurance company. If the insurance company is assuming financial responsibility you want clarify what insurance plan the patient is falling under as well as what procedures are not covered and what financial responsibilities the patient may have (copayment). After all of this is complete, then comes checking in the patient. When checking in new patients, they need to fill out a detailed medical information sheet that will be kept on file and if they are not a new patient all they will do is review this sheet to see if anything has changed or needs to be updated.
