Writing Effective Communications
Phoenix Advertising
Roanoke, Virginia Branch
Interoffice Memorandum

DATE: March 4, 2014

TO: Avery Dowdy, Managing Director; Kim Gray, Planning Director; Rachel Weber, Creative Director

FROM: Kayla Gassner, Vice President of Human Resources

SUBJECT: Roanoke Branch Update

I would like to start in reminding you that our mission here at Phoenix Advertising is to bring quality and promised assurance to all clients. With that being said, in the recent months, the Roanoke branch office has been experiencing many difficulties. After a change in management, the graphic artists and copywriters have made it apparent that their work is no longer being received or revised without consultation of why. Although it is not completely clear, this employee upset may be the cause of the complaints that the branch has received by four of its clients. This is the only branch that is continuously loosing clientele. This matter demands immediate attention, as the Roanoke branch services some of the companies’ most valuable clients including banks, insurance companies and many retail chains and thus is important to the overall success. Need I remind you that this agency is very large covering Charlotte, North Carolina and many of its neighboring states. Phoenix Advertising has nearly 350 plus branches in these areas.

It is vital that the executive team contact the Roanoke branch employees to oversee the operations there at once. Rachel Weber should speak with the graphic designers and copywriters to evaluate the work they have submitted and the revisions that were made by their art director. Avery Dowdy needs to assess the new accounts that the branch has taken on recently and verify their ability to generate revenue. Kim Gray should develop a plan for the new accounts creating a timeline for the project workload that is currently causing the staff to work longer hours. I, Kayla Gassner will oversee the human resources department in managing employee relations and
