Facilitation Guide
Purpose:
The purpose of this meeting is to identify the top 5 communication issues that are having the most negative effect on the company’s ability to expand globally. Help the company to understand the current situation in terms of communication breakdowns among existing offices Outcomes (product to be created):

As an outcome of this meeting, we should have a list of top 5 communication issues that will help the company to understand the current situation in terms of communication breakdowns among existing offices

Process:
Opening ( 5minutes)
Welcome, everyone.
Both of us are all Helix’s employees, and we work in different team and come from different regions. Before we discuss today’s topic, I would like to announce the meeting ground rules in order to make this meeting more efficient and encourage open communication. I would also briefly introduce the background of Helix Inc. And let everyone have a basic understanding for Helix’s current situation. Ground rules:

A. Respect each other: Everyone is different and will think differently about things. We need to respect different ideas and thoughts. B. Listen to each other.
C. Switch off your mobile phones.
D. Do not interrupt speaker. If you need to, ask the facilitator. E. Do not eat during the facilitated session.

Does anyone have questions about meeting purpose and outcome? Agenda review: we’ll go through the steps to achieve the purpose and outcome of this meeting. 1. Brainstorming. I would like everyone can use brainstorm to gather as more as possible communication issues- 10 minutes. 2. List review: we need to review all communication issues that can be combined-5mintues. 3. Reach agreement: we need to review these communication issues again, and discuss the 5 top communication issues for our final list- 5 minutes. 4. Closing: I will go through our final list of the 5 top communication issues. 1. Brainstorming:
PeDeQs: This step is to brainstorm communication issues of Helix. We want to come up with these issues that can help us to understand problems and issues that Helix faced. I would like each of you write down 3 communication issues of Helix Inc. And I will write down each of your list on the poster. For examples, one of communication issues: language barriers. I will put it on the poster so everyone can think about it. Process technique: Generating Ideas.

I think brainstorming is a good way to gather information from each participant. Everyone can use brainstorming to get as more as possible communication issues at this process. I think this method can reduce conflicts and make the meeting run smoothly. Question to start the process step:

Let’s start to think about helix’s communication issues. Think about things you’ve seen from the company, think about the last time you communicate with someone. How does communicate climate among the company. Let’s build a list communication issues among Helix. What communication issues exist of our company?

Recording method:
I would ask each person to give me three communication issues of helix. And I will record these issues on the poster and number these issues. For examples, one of communication issue of Helix: language barriers. I will put it on the poster so everyone can think about it.
