Assignment 2: In-Basket Exercise, Pg. 269 Part A

Item 1

MEMO TO: John Armstrong, HR Director
FROM: Jackie Williams, Downtown Business Club
SUBJECT: Speaking engagement next week
Thanks again for your willingness to speak to our Business Club next week. As you know, this group represents a good cross section of the Lompoc business community as well as a number of Ace’s best customers. We are all looking forward to what you have to say regarding the relationship between strategic planning and human resource information systems.

MEMO TO: Jackie Williams, Downtown Business Club
FROM: Georgina Ryan, HR Director
SUBJECT: Speaking engagement next week
Ms. Williams, Mr. Armstrong has been transferred to a new location, earlier than expected. My apologies, however, if you would allow me to fill in for Mr. Armstrong, I would be honored to address the Business Club.

Item 2

MEMO TO: Ms. Ryan
FROM: Judy [secretary to the director of human resources] SUBJECT: Tom Tipster’s employment status
Just after Mr. Armstrong left yesterday, we received a call from the owner of Stockman’s Bar and Grill saying that Tom Tipster had gotten drunk in the middle of the day again and busted up the bar. He said he’d hold off pressing charges until he talked to you (I explained that you were Mr. Armstrong’s replacement). This is the third time that Mr. Tipster has gotten in trouble over his drinking problem. I think Mr. Armstrong was planning to fire him if he had another problem like this. You’d think that someone with 17 years of service at Ace would have more sense than to get into trouble like this especially with four kids at home to feed!

MEMO TO: Judy
FROM: Georgina Ryan, HR Director
SUBJECT: Tom Tipster’s employment status
Thank you Judy for keeping me up to speed. I will go ahead and meet with the owners of Stockman’s Bar and Grill in person to discuss the situation. Please schedule a meeting with Mr. Tipster, and gather his employment records with us for the meeting. I’d like to personally speak with him.

Item 3

MEMO TO: John
FROM: Arnie
SUBJECT: EEO Report
Where is that EEO report you promised me? There’s no way I want to face the investigators from Denver Wednesday without it!

MEMO TO: Arnie
FROM: Georgina Ryan, HR Director
SUBJECT: EEO Report
Arnie, I’m currently in the process of following up on Johns obligations-please bear with me. I will get you that EEO Report as soon as I can and hopefully before Wednesday.

Item 4

MEMO TO: John Armstrong
FROM: Lisa Buller, Administrator of Training Programs
SUBJECT: Time off
I need to take next Thursday off to fly to San Francisco on important personal business. Will this be OK?

MEMO TO: Lisa Buller, Training Programs Admin.
FROM: Georgina Ryan, HR Director
SUBJECT: Time off
Lisa, there is a group of supervisors who have cleared their schedules that day for training. Please keep in mind the level of difficulty in clearing 15 supervisor schedules. Can your trip be postponed for the following day? Do you have a back up, anyone who can provide the training?

Item 5

MEMO TO: Mr. John Armstrong
FROM: Arch Turkey
SUBJECT: Thefts
As you know, my store is located between your downtown office extension and that of Deuce’s. During the past several months we have had several cases of shoplifting from our store, and the police haven’t been able to do anything about it. Further, several custodians from your facility have been observed acting funny (with dazed looks on their faces) and wandering around outside my store looking in. I think that your people may be responsible for the recent shoplifting losses I have suffered. I would appreciate hearing from you within the next week. Otherwise, I will be forced to take appropriate measures to ensure protection of my store.
