Organising a charity fundraising day
A charity wants to raise awareness of its work and to raise funds. The charity is organising a fund raising day and wishes to advertise the event and get sponsorship from local organisations. The organisation which gives the most money will be given free tickets. The organisers want to develop an ICT based system to help them manage all aspects of the charity fundraising day. In order to prepare for this you have been asked to:
(i) produce a screen-based presentation to advertise the fundraising day which could be uploaded to a website or be displayed in a public place.
(ii) import a datafile with contact details of local organisations and add suitable extra fields in order for this data to be used in a mailmerged newsletter.
(iii) produce a mailmerged newsletter to send to local organisations asking for sponsorship. (iv) produce a model showing how computer software could be used to help in organising the charity fundraising day.
You must undertake the following tasks to research, design and implement an ICT system to enable organisers to manage the day.
MAKE SURE YOU REFER TO THE MARKING SCHEME FOR EACH TASK TO ENSURE YOU CAN GAIN AS MANY MARKS AS POSSIBLE.
Organise and store this information in a suitable folder structure (5 marks)
You must organise your work so it is easy to find and use suitable folders and file names. Ensure your work is backed up appropriately.
Collect information including pictures about the charity and about potential types of activities or performers who could help raise money on the day.
Keep a log and evidence of your sources of information and store this information in appropriate folders. You may use online and non electronic methods of collecting data. Data Handling
Create a data file of local organisations for the charity to contact. In order to do this you must complete the following:
import the ‘Organisations’ file your teacher will give you into a database.
add a suitable key field.
add up to four additional sensible fields with suitable varying data types (at least 2 other than text).
add a suitable validation technique to at least one of the fields in this database.
add details of any two sensible records to the existing database.
Use your data file to:
sort the database in ascending order of name to make it easier to find an organisation’s name.
show the validation technique works.
search for and save a list of all organisations in Cardiff, so the organiser can visit them in person.
search for and save a list of organisations in Bridgend that have previously helped the charity in order to ask them to get involved in the event.
Using advanced skills, implement four improvements to your database.
