The control chart is a tool used with 6 sigma to look at ways to improve the performance of a particular process.     Deutsche Allgemeinversicherung was founded in 1966 by Andreas Steininger. It was one of the world’s largest insurance companies. Around 51% of its business was in Germany with a 60% of its business in the field of retail insurance. Its keys to success were the traditional insurance management and its remarkable customer service. In DA, a typical process flow of a new policy would start by either a customer going to one of the companies branches or contacting a company agent. The customer would fill out an application – sometimes a check was attached- and the application was then sent through the company mail to the Retail Transaction Processing (VEG) division in Hamburg. Also, some customers filled out applications at home and sent them directly to a number of DA locations which would then transfer them to the Hamburg operation. Once the application was received, VEG separated the various parts of the application then scanned it and digitized. The electronic image was then retrieved from a server and delivered to associates desktop client computer. The associate would enter the information on the form into an appropriate database. If the information available in the application was complete a confirmation would be sent to the customer. In case the customer find out something wrong on the notification notice he/she would either call a toll number or send a letter describing the problem. At that point the Customer Problem Resolution division would deal with the problem. On the other hand, if the information in the application was not complete another associate responsible of talking to customers would call the customer to obtain the needed data. The management of DA knew that they delivered a high quality service, but what bothered them was the percentage of the first time accuracy.     A control chart is a statistical tool used to distinguish between variation in a process resulting from common causes and variation resulting from special causes. It presents a graphic display of process stability or instability over time (Viewgraph 1). Every process has variation. Some variation may be the result of causes which are not normally present in the process. This could be special cause variation. Some variation is simply the result of numerous, ever-present differences in the process. This is common cause variation. Control Charts differentiate between these two types of variation. One goal of using a Control Chart is to achieve and maintain process stability. Process stability is defined as a state in which a process has displayed a certain degree of consistency in the past and is expected to continue to do so in the future. This consistency is characterized by a stream of data falling within control limits based on plus or minus 3 standard deviations (3 sigma) of the centerline [Ref. 6, p. 82]. We will discuss methods for calculating 3 sigma limits later in this module. NOTE: Control limits represent the limits of variation that should be expected from a process in a state of statistical control. When a process is in statistical control, any variation is the result of common causes that effect the entire production in a similar way.     The control phase is aimed at sustaining the improved solutions. We want to standardize the solutions and implementation plan with the company's lifestyle. We will develop a control plan, use statistical process control, enact our total implementation plan, use a cost-benefit analysis, and finally celebrate the success. The use of statistical process control will help us monitor where the new process is and how things are performing. It will show things such as our new standard deviations and defects per million opportunities. The control phase helps to monitor and manage risk. There is no point for all this work to just go back to where we once were so it is imperative to put control devices on the new process. Such processes that may be monitored and fixed are faulty parts and service delivery issues, but they can really be anything. The process improvement typically will benefit a company for years to come and so the control phase is important to keep the ball rolling. This phase address potential process failure and risks, establishes measurements and specifications, and very importantly a fall back net or response plan. This takes a critical thinker to find glitches and devise a way to address the issues and get back on track. What will be the corrective action if the plan strays? The control phase helps make sure that critical skills improve and are maintained through standard operating procedures and training. Finally the project can be completed in budget and on time. Charting the process after implementing the plan can be done with tools such as SPC and what it does is help figure out where the new process is and if we are meeting process capabilities.
