All Hands Meeting Analysis
Organizational meetings can be just as detrimental to a company as they can be beneficial. Which category the meeting falls into will determine the overall success of the organization. Let’s first take a look at what it takes to run a successful meeting, then analyze whether Defense Finance, and Accounting Service uses meetings effectively based on current experiences.
What does it take to run an effective meeting? The author of Managerial Communication Strategies and Application, Geraldine E. Hynes, Ph.D. believes that to be effective in meetings managers must be able to tell if a meeting should be called, who should be involved in the meeting and what should the meeting be about (Hynes, 2015). The All Hands meeting is a lecture format meeting, and individuals in the workforce are not given the floor freely. The effectiveness of this meeting while informative could have been quickly sent in an email as a video presentation. While it is important to recognize individuals for his or her accomplishments, DFAS also has a quarterly awards ceremony for such a purpose. The two divisions are Account Receivables and Account Payables. During the quarterly meeting, these are similar to the All Hands meeting they go over the group accomplishments and areas of focus going forward. In the past, it was also similar to the lecture format of the All Hand. The new structure for this meeting while still including a lecture part now has teams within the division each taking turns doing an icebreaker and a slide show of what that team does in the building at the start of each meeting. The new supervisor follows the presentation with the speech on performance/goals and then ends the meeting with a potluck lunch. Before the change in structure to the meeting the meeting was not being used effectively, the teams would sit, watch, and not interact for the most part. The agenda for the meetings were never discussed beforehand and often workers would not want to ask questions due to just wanting to get back to work. I look forward to seeing how the next quarterly meeting will go and to see if this goes in the right direction. The new format allows for employees development by being exposed to an overview of the functions of a new team and how that team's job relates to their team's job. Lastly, the meeting ends with lunch and allows for individuals to discuss the meeting and to get to know the other teams.     Though this was primarily by design, I found myself somewhat taken aback by the lack of engagement with participants and the way NACAC staff and leadership presented information during the update and assembly preview. For a period of two hours, approximately 9 individuals addressed the audience, during what was largely a massive unload of information, decisions – some of which had only been previously discussed amongst the board, others of which were discussed solely among a few high ranking NACAC leadership staff with little to no input from the greater leadership. One of these decisions was notification to all present that, beginning in 2017, future “collaborative and partnership” meetings such as this one would separate the board, president’s council, and committee chairs. They informed those in attendance that, not only would there not be time to collaborate, but the meetings would not be scheduled in the same month or in the same city because it was too expensive for the association to bring all parties and staff together for a single meeting.
