Unit 501 Use and develop systems that promote communication

1. Be able to address the range of communication requirements in own role.

1.1 Review the range of groups and individuals whose communication needs must be addressed in own job role.

In my job role I wear ‘various hats’ and communicate with many different people in many different ways depending on which hat I am wearing.

Effective communication is paramount to me understanding the person or the situation I am dealing with. My main role involves dealing with staff and any staffing issues as the company HR representative but this can also involve communicating with other authorities, senior managers in the business, and effective communication is key to me being successful in the situation.

My communication skills require me to be impartial, but at the same time understanding and supportive. I tend to judge the situation and adapt my communication techniques to suit the situation and sometimes I am required to change the way I am communicating quickly to either diffuse a conversation or gather further information.

I am required to use many different methods of communication:-

Listening plays a big part in enabling me to understand the situation and deal with it effectively.

Questioning to gain more information on the matter.

Negotiation often is an effective tool when dealing with staff availability issues.

Minute taking to ensure correct information is recorded.

Non-verbal communication skills are important in reassuring a situation, i.e. body language can be the difference between someone feeling comfortable and at ease and feeling intimidated or threatened.

1.2 Explain how to support effective communication within own job role
