Unit 210 handling mail
Mail may have confidential information. It may include personal information about employees or contain business secrets such as the names of customers and confidential information related to the business, customers and clients. Also, mails and packages have to be checked for suspicious features. So security procedures will have to be followed while dealing with mails and packages.
For example, when we receive mails or parcels from strange addresses or suspicious forms, shapes and sizes, security procedures have to be followed and reported to the office manager. When we do receive packages that need to be signed for, I am usually the one who deals signs it and gets it to the right department/employee.
Mails should always be dispatched or distributed to the correct recipient, because they can be important and confidential information which should not be disclosed to others. They have to be also distributed on time, so that the task specified on the email is completed within the timescale mentioned and the deadline is met, so that we avoid complaints or other serious issues.
The internal mail services available are for distribution of mails within the offices and all departments. They are collected and delivered on a daily basis.
External mails are sent via post office use. External mail services are used, when mails cannot or does not cover the internal mail service criteria. For example, if mails have to be delivered to clients, or other companies, or out of county correspondences. They are also delivered and collected on a daily basis.
External mail services are selected where delivery is out of county and where it is for other companies or clients.
Internal mails are used where deliveries need to be made to offices or departments. Internal mails save time and money. So any mails that can be sent via internal mail are sent via that means and only the remaining are sent via external mail system.
