INTRODUCTION
This assignment is an attempt to present a position paper about the pros and cons of a database management system (DBMS) for a new a newly established multi-campus Mpokeleshi University library in Muchinga province of Zambia. It further gives sufficiently clear arguments to enable the vice-chancellor make an informed decision on the way forward.
The paper will first define the major concepts under review before outlining the pros and cons of a database management system (DBMS) and finally give sufficiently clear arguments to enable the vice-chancellor make an informed decision on the way forward.
DEFINITIONS OF MAJOR CONCEPTS
To begin with are the definitions of major concepts under review and these are pros and cons, and database management system (DBMS).
According to the oxford university dictionary, pros and cons mean advantages and disadvantages or arguments for and against something. A database management system (DBMS) on the other hand can be broken down and be defined as single concepts as follows: ‘data’ are the raw facts or figures which are processed to get the information. A database is a collection of data stored in a standardized format, designed to be processed, shared by different users and may have single or multiple tables organized in rows and columns. Therefore, a database management system (DBMS) can be defined as “ a software that defines a database, stores the data and supports a query language, produces reports, and creates data entry forms”, (Laudon, 2000:221). Others have defined a database management system as a complex set of software programs that controls the organization, storage, management, and retrieval of data in a database.
ADVANTAGES OF DATABASE MANAGEMENT SYSTEMS
Database management system (DBMS) is a central system which provides a common interface between the data and the various front-end programs in the application. It also provides a central location for the whole data in the application to reside.

The DBMS also adds to the overall security by having the functionality to encrypt the data before it is stored in the database (Ricardo, 2012). The database management system also helps to ensure database integrity, making sure data is readily accessible and is organized as intended by the database administrator (Rouse, 2005). The DBMS also allows the database administrator to define integrity constraints, which are consistency rules that the database must obey (Ricardo, 2012).…

    This paper will discuss the different databases in my organization with regards to what the databases are being used for and any improvements that can be made. To understand how a database helps the day-to-day functions of a business one must first know what a database does and how it works. A database is a “systematized collection of data that can be accessed immediately and manipulated by a data-processing system for a specific purpose” (English Dictionary). So a database is an application or tool used for storing and arranging information efficiently. Databases are very important tools in the workplace, if a company’s data is stored on a typically spreadsheet problems would arise fairly quickly. A spreadsheet is very hard to retrieve data except basic queries, and there is no multiple user access, and perhaps the most troublesome issue is that there is no integrity and data validation. In databases the structure is based on tables which have columns and rows that will store specific data. A row “in a table is referred to as a record. Records are where the individual pieces of information are stored” (Microsoft). Columns will identify the data in the table with the rows showing the records. The main types of databases are; relational and flat-file databases. “A flat file database is a database designed around a single table. The flat file design puts all database information in one table, or list, with fields to represent all parameters. A flat file may contain many fields, often, with duplicate data that are prone to data corruption” (databasedev). Flat file databases are good for small amounts of data that store simple data such as list and data values. Relational databases deals with more than one database at a time. It forms a relationship between tables that are manipulated to suite the user needs. The two main databases that I use at my job would be Microsoft Access and Microsoft SQL Server.…
