BUSINESS CASE
An Online Registrar Transaction for Form-137 and OTR Requests

Xavier University- Ateneo de Cagayan is one of the most prestigious schools in the country. It doesn’t just have high standard education and high status in terms of academic value and but also has high technological competence. It has practiced technology-based transactions for faster and more convenient dealings.

In addition, Xavier University, headed by the University President, has five clusters and these are the Academic Cluster, Research and Social Outreach, Administration Cluster, Mission and Ministry Cluster, and Basic/Technical Education Cluster. The researchers focus on one of the units under the Academic Cluster, the Registrar’s Office. It is a well-established department that is compartmentalized with its tasks and responsibilities. It is also the busiest department among other departments. It facilitates the academic experience of students enrolled in the University, from the time of registration to graduation. It is also responsible for keeping all student records (past and present). INSERT REGISTRAR’S FUNCTION.The researchers focus on the F-137 Request, the Official Transcript of Records (OTR) Request, and the Diploma Checker. The Form 137 is the report card of the student from high school from his first year to fourth year, while the Official Transcript of Records (OTR) is for the transferee students. It is the records of the student from his previous school. On the other hand, the Diploma Checker is a system that serves as record keeper of those who requested diplomas and other documents from the Registrar’s Office.

Currently, the Registrar’s Office follows a system that has been used for quite some time. Most of the processes involve manual filing and snail-mailing which sometimes results to misplaced files and lost mails. But with the technology developing into a more advanced stage, the current system appears to be inefficient. The current system practices
