Chapter 1
1.1 Statement of the problem
This thesis addresses the following problems related to service inefficiency and low productivity of the library staff in General Santos City Library especially, in the different transactions involving the patrons and in the preparation of the library’s regular and on-demand reports.
Service efficiency related problems Inquiry/verification by a patron regarding availability of book takes time and hassle, as it requires browsing of the card catalogues or patrons need to ask the librarian if the book is available.
Productivity related Problems On-demand reports such as the list of library users ordered by course or by year, and list of books ordered by accession number, by title, by author, or by copyright year, are not immediately process.
Problem encountered on current system is where the system does not provide reservation of book, borrowing of book, online inquiry, online information about the book or any reading material, and cannot be accessed by the librarian outside of the library.

1.2 Current State of Technology

The General Santos City Library has an existing system used for their daily transaction. The problem of General Santos City Library can only cater for the local transaction inside the library premises. The Patrons need to come personally to inquire or to ask if the book or any reading material is available or not, and if the book is not available the time of the patrons wasted, but before that the patron need to log their name in the log book when they entered on the Library, Patron need to search personally the book where shelf belongs in a certain section and it takes time, if the book is available, the patron needs to bring the book in the assign personnel or staff in the section where the book belong and the personnel get the name of patron Record the book title, author and the name of the borrower before the book will released, but the book is allowed only for photo copy, it means the

    The system that we analyzed is all-manual system, even the borrowing and returning of books is needed to be listed manually. We thought that they cannot really track the books that are borrowed because they just list their names and section when borrowing. The librarian is working alone so it takes time to finish all her tasks; sometimes she cannot handle to give the books that are behind the counter that are needed to be borrowed so she lets the student to take it. The books does not have a bar code for security in returning or borrowing, the only key to identify the book is the number written on the bottom or top of the book. The librarian check if the returned books are match to the details written on the paper by the student, which includes the number of the book, that’s the only bases of the librarian if the book is returned by the proper person. On the other hand, if the book does not returned in the exact time or date, the only way that the librarian does, so the student will be cleared, is she will be assigning the student to a work like cleaning the library, act like a book keeper, etc. In other cases like if the book was lost, the student must replace the lost book. There is a difference between borrowing and returning a textbook with a reference book. The student can borrow the textbook until the end of the school year same with the employee, the only difference is the student will write the information in a piece of paper, while the employee have their own folders or records that are stored in a cabinet, all their records are written there including the date and time when the books are returned. The faculty is allowed to borrow reference books until the end of the school year, while students are allowed just for one day.
