CHAPTER 1: GENERALITIES OF THE STUDY
In these days, time, effort and money are such vital things that have to be used very efficiently to have a satisfactory outcome whatever work is to be done. Modern day technology makes life simple and easy in many ways. The Internet, for example, is a very helpful tool for the students for research purposes. It also features online applications (e.g. Students Information System, Enrollment System, and Grading System) that help individuals to work through the World Wide Web.
In other colleges and universities, they are already implementing Online Enrollment System for the ease and convenience of the students. However, in St. John Technological College of the Philippines, that is not the case. The students still undergo in manual enrollment procedure which is very inconvenient and hassle on the part of the students and of the enrollment staffs as well.
One of the problems was the generation of forms. The students needed to fill-up four copies of the registration form (copy for the student, accountant, registrar and dean). Students were consuming a lot of time in doing such. Since the students are manually filling-up the official documents of the school, data redundancy has a great possibility in causing further complexity in the enrollment process.
The enrollment itself can be considered as a problem for the students. From evaluation to validation, it is a long process, and students have to go back and forth in different offices (accounting, registrar, VPAA) to complete the enrollment procedure. It can be tiring and such a waste of effort for them.
Another problem of the school was the lack of enrollment personnel especially in the accounting department which only had two personnel to accommodate all the students during the payment of tuition fees. The outcome was that the school had a hard time in accommodating large number of students, and that made it hard for other students to wait in line.
With this in mind, the proponents’ main purpose of this study is to eliminate paper works, retrieve the record easily, and lessen the wasted time and effort of the students. And the solution for that is an “ONLINE ENROLLMENT SYSTEM”. With this, the enrollees do not have to go to the school and fill-up a long registration form. All they need to do is to surf the Internet at their homes or at computer shops nearest them. Payment is very convenient too. They do not have to fall-in-line at the accounting office when they only need is to pay their tuition fees at the bank account of the school.
2. BACKGROUND OF THE STUDY
Currently, St. John Technological College of the Philippines uses Manual Enrollment System. Since this system is fully operated by human, errors are highly possible. There are also many problems encountered in this manual scheme. One of the problems was the lack of enrollment personnel to accommodate all the students during the payment of fees and that made it hard for the students to wait in line. Another problem of the school was the generation of forms. The students needed to fill-up a long registration form and since they are manually filling it up they were consuming a lot of time and data redundancy has a great possibility in causing further complexity in the enrollment process. An added problem was that when the students were getting their subjects and schedule for the semester, the students had to refer to the bulletin boards for the available subjects, schedule, and slots. Since the said information was posted, it would only mean that the updates were not monitored effectively.
An Online Enrollment System was proposed in replacement of the Manual Enrollment System of St. John Technological College of the Philippines for it to have an organized flow of transaction and an ease of work especially to the administrators of SJTCP.
