Knowing Your Audience
BCOM/278

Knowing your audience is one of the most important factors when communicating to an audience. When communicating to an audience some things to considerate is the type of people you are talking to and if they’re ill, young, old, corporate or the media. Once you know your audience then you can come up with the appropriate way to communicate with them.
The potential needs of the family members of the miners receiving the message about the incident should be personal, heartfelt and face to face. When delivering the message make sure you show sympathy, concern and ensure them every measure is being taken to rescue their love ones. You wouldn’t want to send a text or call them on the phone in a situation like this because very it’s impersonal. It can send the wrong impression that it’s not genuine or the company really doesn’t care. Other things to consider for the family members mental state of mind so have people there to talk to like a priest or counselor. Also some type of financial support for the family members until the issue is resolved. The potential needs of the company’s employees when receiving the incident that happened with fellow employees would be through a face to face meeting with upper management explaining the situation. I would also provide numbers to counselors or people to talk to if they need to.
When delivering a message there’s a few factors that must be taken into consideration so the message can be received as intended. Make sure to use the right tone of your voice and body language because that can send the wrong message. You also want to make sure to gather all the information and put out only pertinent information because the information should be on a need to know type basis. Make sure all the information being put out is clear and true. Let them know every effort is being made to reach their love ones. Ensure them that we will keep them updated

1.2 – The reasons for knowing the audience to whom you are speaking to is that if you know them then you can quickly figure out or should already know what way, language or style of writing which should or could be used. The aim is always to get your point, problem or query understood by whomever may be listening, reading or watching. So if it is an individual, group or team or people you know that you may know personally this makes the task at hand so much easier because they will believe you in what you are saying or trying to communicate across in which ever manner which is chosen. They will also understand the language, emotion or attitude you will be using towards them compared to if it was a complete stranger trying to understand you. I will always use whichever way of talking, writing or body language which I think will be the easiest for my selected audience at hand.…

To the family of the trapped miners I would chose to use the face-to-face approach since such a sensitive matter at hand where their family member’s lives are at risk. The considerations that you need to keep in mind when addressing the family members is that many of them are going to be frightened and scared for the safety of their family members. You will want to have all your facts and be prepared to answer many difficult questions concerning the well-being of the miners and how long it is going to take to rescue them, as well as providing them with the facts about how this happened. A good thing to do in a situation like this is to offer professional counseling to the family members.…

We need to know who the audience is so that we can change how we speak to suite them: if it is a business associate we would change are manner to being professional; a friend we would be chatty and informal; if it was a child we would be playful and try to get them interested in what I’m trying to communicate to them.…

Knowing the audience to whom you present verbal communication to is important because you will have to analyse first how you are going to communicate with them and whether they will understand what you have to say. If you had a board meeting and you had to present your idea of a new product in front of the head department of your place of work you would have to work out how to present it to them, because you’ve got to keep them interested. Because you are presenting a new idea you would probably make a PowerPoint presentation on the computer with all the information you need on it and talk alongside it so everybody understands. However because they are of higher authority, you would use more complex/technical words to show you know what you are on about and you’d also make sure layout, spelling, punctuation and grammar etc was correct. Also you would give everybody a hand out which goes into more detail and…

When presenting this message to the company’s employees I believe it would be best to call a formal face-to-face meeting. I would also put together some sort of letter or memo for the employees. In the meeting I would discuss the evacuation or rescue process, so that they know what is to happen. I would then explain to them what is going to take place after the evacuation process has been completed. I would ensure them that their families have been made aware of the ongoing situation. This should show that the company cares about its employees as well as their families. I would offer or provide counseling to those who may need or want it.…

Not a single person ever actually knows how a situation like this is going to turn out until it happens. The company that the miners work for has to inform the families that their loved ones are trapped underground. They also have to inform their workers as to what has occurred and what is going on. There is preparation for these situations, but even if drills are practiced over and over there is nothing that can truly prepare a person for an event like this. Communication in a situation like this has to be done very carefully and the audience has to be considered. The people communicating the message have to remember that these are loved ones, friends, and co-workers that are receiving this message so they have to take great care with the use of body language and wording not to convey the wrong message in stressful time such as this. Communication in an event like this has should convey a few possible scenarios and let loved ones know what if anything they can do to help. Communication to employees should inform employees of the current situation.…

    Being Audience-Centered

Being audience-centered means that we get the focus off our needs and wants and unselfishly serve others. We do this by directing our attention and thoughts towards how we can benefit them. This is important because if your audience perceives this kind of unselfishness in you, they will listen and most likely put into practice whatever it is that you are sharing. Additionally, it really shows that you also care about them. Concerning this, Theodore Roosevelt is quoted as saying that, “No one cares how much you know, until they know how much you care” (n.d.). This adage has been especially true in my own personal experience, and doing this helps create exigence when giving a speech. Additionally, in the reading, R. Verdebeer, Sellnow and K. Verderber (2015) noted that, “…a message…

If you are speaking to an unknown audience, try to find out as much information as possible in order to build a strong audience profile. Take into account who will be attending in terms of gender, age, rank, profession, background, and cultural background. Such information will provide you with valuable insights to personalize your presentation, and make it less generic. Audience members can tell when you have taken the time and trouble to do so, as opposed to delivering a standard presentation with no specific effort to connect with them as human beings. Value the opportunity to make a memorable impression on your…
