Interoffice Memorandum

DATE: August 17, 2012
TO: Managing Director; Planning Director; Creative Director
FROM: Vice President of Human Resources
SUBJECT: Roanoke Branch Update

In recent months, the Roanoke branch office has been experiencing difficulties. After a change in management, the graphic designers and copywriters have made it apparent that their work is no longer being received well. Although it is not completely clear, this employee upset may be the cause of the complaints that the branch has received by four of its clients. This matter demands immediate attention, as the Roanoke branch services some of the companies’ most valuable clients and thus is important to the overall success of the company.

It is vital that the executive team contact the Roanoke branch employees to oversee the operations there at once. Lora Wells should speak with the graphic designers and copywriters to evaluate the work they have submitted and the revisions that were made by their art director. Meg Roberson needs to assess the new accounts that the branch has taken on recently and verify their ability to generate revenue. Michelle Leon should develop a plan for the new accounts creating a timeline for the project workload that is currently causing the staff to work longer hours. I will oversee the human resources department in managing employee relations and ensuring that the branch managers are indeed allocating paid time off to the salaried employees. A report detailing your findings and procedures is expected in my office no later than August 24, 2012.

After reviewing your reports individually, I will hold a meeting with the executive officers to review the status of the Roanoke branch on August 28, 2012. If we all work effectively together I am sure we can resolve all the issues and ensure the success of the Roanoke

After my conversation with our president Gregory Forest, it has come to my attention that one of our branches seems to have some concerns that needs addressing,. pParticularly, our Roanoke branch located in Virginia. Mr. Forest has informed me that four of our longtime clients Citibank, MetLife, TD bank and all state have made complaints about work being produced by this branch. In the last three months, we have lost two top management people, Steve the art director and Linda, an account executive. An additional seven more people from this branch have threatened to quit, three from the graphic design department and four of our copywriters. It is also to my understanding that this branch is accepting new clients regardless of the current workload it is aeffecting.…

The information of a memo is important because it tells the audience the reason for writing the memo. Memorandums can have information that does not apply to the message. For instance, Andrew had information about Macy’s winning the test case against the United States right to use LIFO. This information is not necessary because it does not apply to the company. A memo with information overload can cause the audience to lose their attention, and it has the potential of letting the audience know that they have no knowledge of the subject.…

According to the records presented to us by the Roanoke branch in Virginia, we have lost both clients and important workers. This has adversely affected our profit margin, as well as employee morale in that branch. The situation has compelled the branch managers to expect more from the staff member, who have been expected to work tirelessly to ensure that the situation is rectified. This has been a subject of great debate at the executive level being that it does not positively portray the company image. We are known to thrive to have a positive working environment and we also know that working for longer hours adversely affects the quality of work being presented. This is an issue that we have discussed with Mr. Forest and we came to the conclusion that we need more information from the rest of the executive team.In order to be able to overcome the predicament that we have found ourselves in, we will be meeting in four working days in order to inform the rest of the team of our decision. In this situation, it is expected that some of the experienced workers will be transferred to fill the vacant positions, in Roakone, while a few will travel temporarily to support the thin workforce in that branch. I would like to thank you all for the hard work that you have been able to achieve in the head office. In case we have any changes made before our next meeting, we will inform…
