The first day of this week, the trainee focusing on completing the minutes of meeting and answered the phone call regarding the status of the applicants. In afternoon before the lunch break, the trainee had a short discussion with Miss Amira regarding the minutes. She checked the minutes and a few editing need to be done as there were some parts need to be added and also parts need to be cut off since it was important before submitting it to En Rizal , the Chief Secretary Assistant. In the evening, Miss Amira gave an order to the trainee to listen back to the voice recorder and jot down the important matters that have been mentioned in the meeting to ensure that all the arisen matters are stated in the minutes. This is because the trainee has been listed to attend teambuilding program held at Kalumpang Resort and Training Centre, Hulu Selangor for three days and two nights. This program was compulsory for all staffs of Human Resource Management Department. The purposes of this program were to strengthen the relationship between the staffs and superiors and to educate all the staffs and superiors about teamwork. There were lots of activities been held for instance management game and outdoor activities such as river crossing, explorace, jungle tracking and 4 Wheel
These two days were quite hectic days as there were so many people came to the office to collect their cheque but mostly the cheque was expired. There was misunderstanding happened as the applicants who were eligible for HPIPT that not coming to office to collect their cheque a year ago had receive the text from HPIPT Secretariat Unit. The text message stated that “Sila tuntut cek pembayaran HPIPT anda di Pejabat Urusetia Hadiah Pengajian IPT. Untuk sebarang pertanyaan dan maklumat lanjut, sila hubungi UrusSetia Hadiah Pengajian IPT”. This text message has caused the text receiver misunderstood by having a thought that the cheque was ready to be collected and they have to come to the office to collect it whereas they need to contact the HPIPT Secretariat Unit to confirm with the staff about the renew cheque before they came to the office. Thus, the trainee need to jot down the applicants’ name and identification number and asked them to make a call regarding their renewed cheque status after two weeks working days. After that, the trainee had to find the expired cheque at the box and attached it together with papers that contain the list names and identification number of applicants so that the cheque can be renewed within 14
