Candidates are to demonstrate the skills and knowledge necessary to prepare for a meeting in accordance with organisational requirements. Assessment description
For this assessment candidates are required to undertake an informal meeting and prepare for a formal meeting. These meetings can either take place in their workplace or in a simulated environment. Note: The work completed for this Assessment Task provides the basis for Assessment Tasks 2 and 3. Ensure you keep an electronic and/or hard copy of this completed assessment for future use. Procedure

There are two pathways to complete this assessment:
Pathway 1 is for students who are in the workplace and in a position where they can act as the chairperson for a formal meeting while at work. This meeting will need to be video-recorded and therefore cannot be about anything which the company deems to be ‘secret’. Pathway 2 is for students who are not in work or who are in work but not in a position which enables them to act as the chairperson for a formal meeting. Instructions on how to form the group required for the assessment can be found in the facilitator’s forum. Pathway 1 Task A (1.2)

Arrange a time with your assessor when you can conduct an informal meeting via webinar to confirm the title, reason and content of the formal meeting you will chair. For this meeting you must have considered the following points and be able to confirm them with your assessor: a) Which conventions of formal meetings your organization adheres to b) What legal and ethical requirements there are that surround formal meetings Pathway 2 Task A (1.2)

In a group of 4 members, conduct an informal meeting where you invent a simulated company. You must all be able to understand how the company works and therefore it would be advisable to choose a type of company that you all have experience of; this could be as a member of staff or as a customer for instance in a shop or leisure centre. Each of you is to be assigned a position within the company such as Operations Manager, Sales Manager etc and then you must decide upon a subject that will be discussed in the Formal meeting that each student will have to chair (Assessment Task 2). You will need to produce a short statement about your company and must develop a document which sets the meeting guidelines that the participants of your meeting will follow. This should include a consideration of the following points: a) Which conventions of formal meetings your simulated organization adheres to b) What legal and ethical requirements there are that surround formal meetings

The remainder of the tasks are the same for both Pathway 1 and Pathway 2 students and refer to the preparation required for the formal meeting you will conduct as Assessment Task 2. Task B. Complete Appendix 1 and use it and information you produced in Task A, to determine the meeting requirements for your Formal meeting. Record this in ‘Meeting requirements questionnaire’ included in Appendix 2. Task C. (1.1) Develop a meeting agenda using the template provided in Appendix 3. Task D. (1.3) Identify meeting participants and detail the reason/s they should attend the meeting. Task E. (1.2) Identify the format of your meeting and explain why you have chosen this format. Task F. (1.3) Develop an invitation to notify participants of your meeting and explain the format of your invitation and why you chose this format. Use this invitation to notify participants of your meeting.
