Advantages and Disadvantages of Using E-Mail
It is true that due to advanced technology in computer and networking system, e-mail has become more popular in today’s world. E-mail has an enormous influence in communication, both professionally and socially. However, there are both positive and negative effects of using e-mail. E-mail brings a lot of benefits to society. First of all, the main advantage of e-mail is that it is the fastest and easiest way of communication. While the postal service takes longer to send a letter from one country to another, e-mail delivery system can send a mail within a minute with just one click on “send button”. Therefore, e-mail is beneficial for people to get in touch with friends, relatives and colleagues from different places. Secondly, e-mail allows people to send attachment files with different sorts of information such as photos, videos and documents. For this reason, it is very convenient to use e-mail in the workplace as well as at home. Finally, the cost of e-mail is so low that everybody can use it at a reasonable price. On the other hand, it can be argued that there are some drawbacks of using electronic mail. The most important downside is that the security system of e-mail is unreliable and unsafe. As a leakage of information or data can occur, it is advisable not to write private information in e-mail. Another worrying trend is that volumes of e-mails increase overload and stress. The e-mail sender expects a fast response and this further increases pressure. Moreover, too much use of e-mail allows viruses into the IT system. Additionally, people spend too much time on checking and using e-mails. This will be time and energy consuming. In conclusion, it is undeniable that e-mail has had a huge impact on professional and social communication. Alison Stein Wellner’s text Lost in Translation discusses the negative impact that technology has had in face-to-face communications at work. Wellner observes that “new research indicates that overreliance on e-mail can degrade an organization’s interpersonal communication.” (Wellner 374). What he means is that with the introduction of the email, people are overusing it and depending it too much, even when face-to-face communications are preferred. These situations may include those that are sensitive or complicated, where a personal conversation is the best fit to resolve the issue. This does not mean that when something is important someone can’t answer. Sometimes a face-to-face communication is best to solve an issue, and migrating directly to email and text can damage a person’s work and social ability. Wellner later claims that “If it’s not used properly, instead of making your company quicker and more effective, too much text-based communicating can actually make it stupider.” (Wellner 374). In today’s business one of the most common and widely used forms of communication is e-mail.     At work I use email on a daily basis, whether that be reading emails or sending them. Safety is one of the most important aspects of any job. It is important to stay safe and respect others when using email. If I don’t use email correctly I could quite easily see myself passing confidential information to the wrong people and end up in a difficult situation. To stop myself from sending emails to the wrong people I should always double check an email address before sending an email.
