System Analysis and Design

SAD

◦SA studies the information gathered from
the user to identify the user’s needs
◦“Gathering of information”

These

needs are the system
requirements that must be satisfied
for a successful completion of the
system.

INTRODUCTION

design

system’s input data into output data.

SYSTEM RUN
CHART
The pictorial representation of the logical interrelationship between the system procedures and their inputs, outputs and data stores.

Shows

the logical inter-relationship between
the data and the processes.

Intends

to represent the system using the
data processing concepts i.e. input,

process and output.
It

shows for each process, the inputs
required, the processes needed to be carried
out and the outputs that are produced

STANDARD SYMBOLS & NOTATION

◦PROCESS
◦ON-LINE STORAGE DEVICE
◦INPUT-OUTPUT DEVICE

◦PROCESS – indicates the process or
functions being performed.

rectangle

 E.g.

◦ON-LINE STORAGE DEVICE
 it represents a storage media, which can be
temporary or permanent.
 A strip is usually placed at the bottom of the
symbol to indicate the media.

Disk

Flowchart: Stored Data

◦INPUT/OUTPUT DEVICE
 it represents the non-processing parts of the
system like printer, VDU or keyboard.
 A strip is placed at the bottom to indicate this.

Flowchart: Data

Case

study scenario:

◦At the end of each month, ICC will run a Payroll Program to produce a COINAGE ANALYSIS REPORT so as to prepare
the pay packet for each of the employees.
◦All transaction data are stored in the PAYMENT
TRANSACTION FILE.
◦To ensure that there is no error, the data has to be validated. A VALIDATED PAYMENT TRANSACTION FILE is then
produced.
◦The file is then used to update the payment transaction file. ◦The PAYMENT MASTER FILE will be used as the input to the
Coinage Analysis program to produce the required report.
◦The validation and updating process will also produce their respective reports.

SYSTEM FLOW
CHART

Describes

in outline the events in a

system.
Shows departments, function events
and responsibility of each.
Column format.
Symbols are connected by
lines/arrows.
Plain language annotation.

DATA FLOW DIAGRAM
A pictorial representation of any business activity
will be more effective than a narrative one

Easier

to understand or
grasp when being explained

Much

more precise

Less

ambiguous than a
narrative one.

Advantages

During

the course of analysis, the SA
has to gather enough information in
order to answer the following
questions. It also serves as a form of
checklist:

◦What are the processes that
make up a system?
◦What data is used in each of
the processes?...
