Chapter 2 – “Planning Business Messages”

9.) The phrase of the writing process that should receive the most time is revising, because you need to proofread, and evaluate. Also many find that new ideas occur after they have begun to write, causing them to back up, alter the organization, and rethink their plan.

10.) Business people are writing fewer interoffice memos and letters because they are particularly for messages that require persuasion, permanence, or formality. They are also prepared as attachments to emails.

11.) It’s important to profile the audience for a message because you can identify the appropriate tone, language, and channel for your message.

12.) Six factors that should be considered when selecting an appropriate communication channel:
Who is my primary reader or listener…
What are my personal and professional relationships with that person…
What position does the person hold in the organization…
How much does that person know about the subject…
What do I know about that person’s education, beliefs, culture, and attitude…
Should I expect a neutral, positive, or negative response to my message…

One additional factor that I might consider in my business messages is how I must reshape my message to make it understandable and acceptable to others to whom it might be forwarded to.

14.) In messages to customers, the issue with using words like complaint, criticism, defective, failed, mistake, and neglected is its unprofessional. It’s important to project professional image, you must sound educated and mature. Positive language generally conveys more information than negative language does. Skillful writing techniques in this section include choosing bias free, plain, familiar language, and precise expression.

    Communication is very important in the business world these days. It is done through many different ways where the sender will try to convey a message to the receiver to pass some sort of information along. In today’s business one of the most common and widely used forms of communication is e-mail. E-mail sent in a business environment requires a professional vocabulary and tone that is not normally used in personal e-mails yet it still needs to be conversational. According to Nancy Flynn, director of the ePolicy Institute and author of Writing Effective E-mail and E-mail Rules, “the average office worker spends 49 minutes managing e-mail daily, while upper level managers spend up to four hours a day on email” (Mardesich, 2010, guides, para. 3).
