TASK 1
Question & Answer

1. How would you inform team members of the outcomes of continuous improvement proceses?

Mediums to be used in order to inform team members of the outcomes of continuous improvement processes could be in the form of a soft copy such as e- mail, sms, a power point presentation, or an Intranet platform as well as in the shape of a hard copy like personalised letters and general newsletters. For outcomes concerning the entire team a staff meeting is to be considered at which any of the above mentioned media can be used to accomplish and support the outcomes presentation. Graphs and statistics in either shape or form are a very good medium to present the outcomes and the development from point zero ( when the process was put into place ). For outcomes and information concerning only a few or particular team members individual meetings are a great way of communicating, that way a 360* meeting can be held.

2. How can you communicate your suggestions for continuous improvement?

This can be a more difficult task because the manager has to take into account the possibility of initial resilience towards any sort of change which is a trait of human nature. Training according to a previously written development/training plan is probably a good strategy. Pursuing the help and support of experts, consultants or so called in - services which provide specified training and lecturing and can support their suggestions with evidence would come in useful. Staying opened for suggestions from the team and giving them a feeling of co - creator-ship while staying focused on the targets will probably make it easier for everyone. Do a " negative brainstorming " and get your team to find all the reasons why this cannot be done and then reward them for finding solutions to those reasons.

To successfully implement change, employees need to understand how this will benefit them and impact their daily work. One of the things is that something might look good on paper can have drawbacks that are not realized by the planners, but can be easily identified by the employees who must implement the change. Therefore as a manager you need to bring the idea to the employees and get their feedback and continue to empower the employees to make the change that will work for them. Since change doesn’t happen overnight a manager needs to continually in monitoring the process and to assist the employees in finding ways to make the change work, while being respectful of the demands of implementing change ("What is the Manager’s Role and Responsibility in Implementing Change Within a department?", 2009, p. 1). In implementing change the manager should not focus on one thing as though it is the solution to the problem, they need to look at the whole picture.…

When working together communicating effectively is important. It helps a team understand what is expected of them as well as outlining important information and goals. A variety of methods can be used to achieve this i.e. meeting, email, bulletins and information boards and the most important decision required is “What is the best way to relay this message?” A consideration is also required as to who the audience is as this will affect the decision on how information is relayed. In some circumstances communicating via email is acceptable, this is generally best when the information needs to be passed quickly to a lot of people, or if it’s an update that can be read when they have free time to do so. If an urgent update is needed or change to work it is always best to use face to face in a meeting. This will enable you to be able to answer any queries or even to seek ideas from the team if required. It is always best to communicate with your team regularly to ensure that any problems/issues can be caught early and acted upon. For statistics to measure areas of concern/ productivity an information board displaying these in a visual display could also be useful. By…

I do believe that the company will have to modify its train the trainer approach slightly. I think they will need to have employees that are in charge of training as their job. Instead of having employees (managers) that train new employees, they will have people specifically in charge of training new employees as well as designing the training program to deliver to them. These people that are in charge of training should be employees that used to be managers with the organization or subject matter experts. This will allow for the train the trainer method to occur as well as not taking time away from managers to fully train employees.…

First I would setup a meeting with the team to communicate the issues that senior managers have brought to my attention. Team members need to establish a common understanding of team purpose, roles, responsibilities and accountabilities. We need to revisit the performance plans to establish the expected outcomes, outputs, key performance indicators and goals for the team. As levels of cooperation are falling, this must be presented to the team with a positive attitude. As a team is a group of people who work together and are collectively responsible and accountable for a defined task and each member has skills to contribute to the task. After the meeting I would need to determine an optimal team deployment;…

I believe that some strategies to manage change and innovation to help employees to visualize a brighter future is by getting the employees excited and engaged with the upcoming changes. Try not to put together the same old usual power point presentation because that can most likely disengage them. Instead of the boring stuff, try something more up to date and plan an announcement that will make them visualize how things will be different. Try telling your presentation in a story as though the change has already happened. As your telling your story, your employees will begin to engage and be able to see themselves in the future picture and ready for the change that’s coming. Something else that is important is getting the senior leaders together and clarifying…

It is important that the manager has a plan of action before trying to implement any change. This paper will discuss the manager's role and responsibility in implementing change in the department. How should a manager successfully handle staff resistance to change and the paper will define each step of the change process.…
