Service Request SR-rm-013 for Riordan Manufacturing
Riordan Manufacturing COO Hugh McCauley is requesting the implementation of a modern, state-of-the-art information system to integrate all existing HR tools into a single application. To achieve the desired goal, a very detailed investigation needs to be performed, studying the actual processes that Riordan Manufacturing currently uses. Also, a series of stakeholders will provide the adequate feedback trough a series of face-to-face interviews and meticulous observation of their respective working environments. These tools will help create a system that will maximize time and organize the information inside the Human Resources department of Riordan Manufacturing.
To gather all the requirements expected and perform a more accurate assessment for this new application, there is a need to involve several key stakeholders within the company. Starting from the upper management of the company is always one of the best steps, as they are the ones providing the guidelines for the project at hand. Some of the proposed key stakeholders to be included in the decision making process are: * President and CEO Dr. Michael Riordan- “determines and formulates all business strategies” (Riordan Manufacturing, 2012). The integration of a new information system should directly include the feedback of the CEO * COO Hugh McCauley- Administrator and coordinator of the activities in support of the company’s policies goals and objectives (Riordan Manufacturing, 2012). He is in charge of the Service request * Director of Human Resources Yvonne McMillan- Directs and coordinates human resources activities (Riordan Manufacturing, 2012). She should be able to provide the best feedback regarding the actual system and how the new system should operate. Also she must be aware of the technology being implemented and how to use it. * Chief Financial Officer Dale Edgel – “Direct the accounting, finance and Human Resources functions toward achievement of the company’s key results while upholding company values” (Riordan Manufacturing, 2012). Mr. Edgel needs to be involved on the creation and integration of a system that will directly affect his procedures. * Chief Information Officer Maria Trinh- She will provide direct support to the implementation of this new system and recommendation on current technological structure. Other stakeholders that will be important to interview will be the personnel working in the Human resource department, as they could provide input on the daily operations and how to merge every tool into proficient, friendly system. Finally the presence of a legal representative will be necessary, as he will maintain the company safe of any patent violation or legal situation that may arise. Information Gathering
The first step to gather the information required will be the study of all the existing documentation about procedures, business rules, and job responsibilities. Direct communication with the Human Resources department is essential to gather current forms, procedural manuals, job responsibilities and reports (Satzinger, Jackson, & Burd, Chapter 4 Investigating System Requirements, 2012). A small huddle would be organized with the personnel inside the Human Resources department to verify that the process and reports created are accurate to the procedures established by the company This will reduce or eliminate redundancies and discrepancies in the actual processes, and will provide a more clear goal for the information to be collected. It will also give the analyst a general idea of how the company had managed things in the previous years; what faults have the company recognized within the specific department that would relate the system to be created.
