Project:Development of Online Hostel Management Information Systems (HMIS)

The project charter defines the scope, objectives, deliverables and overall approach of the work to be completed. The scope of this document covers the critical element for initiating, planning, executing, controlling and monitoring the project. This document will serve as an agreement between the following parties: Project Sponsor, Project Manager, Project Team, and other personnel associated with and/or affected by the project, stating at a minimum:

• Why are we doing this and what is the overall goal.
• What are the assumptions and constraints going in.
• When do we need to be finished.
• What deliverables must be made to get there.
• What things are not to be done.
• When do the deliverables need to be completed and in what order. • Who is going to actually do the tasks and where.
• What resources and money (budget) is needed.
• What risks are there likely to be along the way.
• How to keep things on target and monitor progress.


This system is designed in favor of the hostel management which helps them to save the records of the students about their rooms and other important information. It assist managers from the manual work from which it is very difficult to find the record of the students and the mess bills of the students, and the information of about the those who had left the hostel years ago.

We design this system on the request of an online hostel management system designed to track, organize, store and report on students accommodation data. This system will also automatically calculate all the bills and issued the notifications for those students who go against the rules and regulations within the hostel agreement.

For the past few years the number of student that gets admission into University of Ghana has increased tremendously resulting in increasing number of hostels both on and off campus. There is a lot of strain on the office of Dean of Students affairs in managing the students and bring together all hostels allotments to them. This project helps the administrators to effectively manage room, students’ records, and other information while dealing with the problems associated with managing a hostel manually such as human errors, data redundancies, and inconsistency in information. * Descriptions

This software product will assist the hostel management to improve their services to all the students of the hostel. This also reduces the manual work of the persons in administration panel and the bundle of registers that needs to be searched to find the information of a previous student. Through this system managers can store the data of those students who had leaved the hostel years ago.
