Explain why it is important to clarify each of the following details when organising business travel and how you would go about this.        the purpose of the trip who will be travelling the travel budget the people or organisations to be visited and their contact details Organizational requirements Meeting locations and times Accommodation requirements

 the purpose of the trip Purpose of the trip will accommodate the approving manager on his/her approval of the travel. Will also determine the type of arrangements the traveller or traveller’s administrator will need to make and the materials they may need to prepare for the trip.  who will be travelling Need to know which members of staff will be travelling as details need to be given for approving manager or administrator for booking flights, accommodation and car hire.  the travel budget Travel budget is very important to clarify to travellers so they are aware of the amount of money they have to spend for there travel (issued on per diem form) and the procedure they need to know to go about it all the correct way. Travel budget within ASC Pty Ltd is estimated against each individual department and flows down to each individual management group of that department for each financial year as to the amount of staff travelling and where.  the people or organisations to be visited and their contact details Each employee travelling within ASC receives a printed itinerary of his/her times and destinations. Staff members travelling may also have their own sub-contractors they have organised to meet with.  organisational requirements Organisational requirements you will need to be familiar with and the external suppliers used by the organisation the traveller will be dealing with.

 meeting locations and times An important and convenient reference for the traveller, and any other person whom need to know where the traveller will be at any particular day and time of their travel. Prior to travel staff member travelling can prepare themselves with maps for the destination of travel to enable them to get to where they have to be within the itinerary.  accommodation requirements Traveller needs to know his/her accommodation requirements prior to travel such as Hotel/Motel Name, Address and contact phone number. I would go about this and book suitable accommodation that complies with company’s accommodation listings and suits the traveller’s needs, pass a copy of the confirmation accommodation booking documentation to the traveller in case of any discrepancies when the traveller arrives at the accommodation.
