1.2: Describe the different features of electronic message systems. * Telephone Features: instant voice communications use of mobile phones able to contacted people anywhere and anytime. * Voice mail answer machine: messages can be checked and returned calls can be made, enables customers to leave messages outside office hours. * Email: Fast message system, can be read away from your desks, documents and photographs can be attached, spam messages can be deleted. * Fax: instant transmission electronically produced from one end to the other. 1.3: Explain the purpose of keeping an electronic message system up to date. The purpose of keeping an electronic message system up to date is so that no miscommunication between customers, suppliers or other businesses. 1.4: Describe how to use an electronic message system to check and delete or discard messages. You use an electronic system, such as hotmail, to send emails. You check emails by going into hotmail and checking the inbox folder to see who has emailed you. You can delete emails in batches; you do this by selecting the emails you want to discard and selecting the delete button. You would do this to free up space in the inbox so all the emails you need to keep, that are important, you can keep in the inbox. 1.5: Explain the purpose of leaving clear messages for others. It is important to be clear in messages so that the actually message is transferred properly. Otherwise, the original message gets twisted and the complete conversation.
