The letter has to use formal language with soft and positive tone. The letter has to be to the point, short and precise. The letter should give out the main purpose in the first few lines so that the reader can clearly understand the motive. The letter has to clearly state the issue and aspect of the issue you want to inquire about. Be clear in what you are inquiring about and how the authority can help you in that regard.
