Email: A Quick Way to Correspond in an Organization
As technology changes it is important for organizations and businesses to stay up to date and current. There are many benefits of having email access in an organization. Email is a quick way to correspond with another co-worker, client, or another professional by sending a message. Email offers a great paper trail for conversations so there is less note taking. Another benefit is that there is less time waiting for return calls or spending time tracking someone or information down. Email also provides a way to communicate with people who may not be in the office but have the ability to check their emails instead of waiting for their return. Limiting email access during working hours is important so that employees remain professional and do not abuse the privilege. Once an email leaves the “outbox” it is important that the sender realizes it will be delivered immediately and what they have sent is permanently out on the net. An email leaves the senders network and finds its way to the receivers network and email inbox.
Instant messaging on organizational networks creates a two way conversation without having to leave your desk, place a phone call, or send an email. One benefit of such technology is that it is a time saver. One co-worker can answer the question sent to them without leaving their office or interrupting what they were previously working on. Instant messaging has its drawback s and must be monitored for personal use. It is important when using technology to communicate, such as instant messaging and emails that employees remember to keep as much information confidential as possible.
Web page and search engines are very helpful and can provide a lot of information at an employee’s fingertips, however if these programs are not monitored they can be abused by personal use of employees. Managers and other department supervisors should monitor the use of email, instant messaging, web pages, and search engines because it is important to

    Business communication forms are continually evolving into many different forms. There was a time when communications were done by simpler means such as telephone, mail or by courier. That is not because that was the way businesses chose to communicate, but because it was the only way to. Technology had not advanced to accommodate busy lifestyles, and business deals that can fall apart in a matter of seconds simply because they could not speak to someone that was far away right at that very moment. Businesses definitely use the resources available to communicate, because they ensure that their employees have email, IM and a cellular phone so they can have open communication with them at all times. With my employer it is often difficult to get in touch with me by telephone, so we have an Instant Message system so than I can be connected to at any time when I am needed. Email is also an essential form of communication, and the emails come in a matter of seconds from all over the world. That keeps everyone tapped into one another by a simple click of a button, and the ease of speaking to someone for some last minute input into a project can take place without the inconvenience of having to call that person on the phone.     I believe that e-mail usage with an organization is beneficial to all parties within an organization. Its main purpose is for communications between employees, management, and clients. It is a tool used from a PC to a PC or MAC which is sent and received in seconds, As far as the downside of e-mail usage can be the information being sent and received and the privacy issues. Organizations fear that that the information being sent and or received can lead to a lawsuit or cause adverse publicity for that organization, which could be costly to an organization.     Companies in the real world have been merging onto the current technology from time to time, but some have not been careful. Or should we say: some employers haven’t been careful. With technological advances happening basically every month, some people take a while to adapt or get too fascinated and begin to over use it or use it inadequally. Alison Stein Wellner’s text Lost in Translation discusses the negative impact that technology has had in face-to-face communications at work. In my organization, emails messages are largely used to communication inside and outside of the organization.
