During the Meeting

Preparation & Paperwork

Informing both supplier and engineer about the meeting and getting confirmation from them. Getting information from purchaser regarding the PO and BOQ.

Went through all the agendas of meeting with supplier
Firmly mentioned what need to be prepared by the supplier and what not.

Post Meeting

Preparing the Minutes of Meeting before the meeting.

Been given an opportunity to chair the meeting

Documentation: Minutes of Meeting need to be signed and distributed to all. Follow up: Actions that need to be taken by ALSTOM should be done by getting information from engineer and respective personnel.

Need to be mentally well prepared for the meeting in case of any decision need to be made. Giving experience on how to talk and deal with experienced people. Appearance and first impression are important to grab attention. Built self confidence when negotiating and giving explanation.

Review on previous FAT, Punchlist Items, Single Line Diagram.

Discussion, arguments, testing and closing the punchlist items.

Documentation with photos in the report to prepare for the next FAT.

Need to be physically fit to travel in foreign country. Exposed to an industrial activity, e.g: working at the warehouse, real generator, machines. Proper arguments and discussion on anything to make sure the supply is well designed and manufactured. Learned to be more assertive in making decisions and must be proactive and productive. 16

Teamwork: Participants were divided into groups to discuss on a case study. Courage to give any opinions. I have learned to express any ideas no matter who were involved in the discussion. Knowledge to negotiate and spirit to hold on to the group’s decisions. Exposed to the General Terms & Conditions and getting to know the other side of Procurement & Logistic. Not only the technical, commercial is also an important element in P & L. 19
