There are many different types of information systems available to businesses. Important and proven to be handy are so-called application software which “consists of instructions that direct a computer system to perform specific information processing activities and that provide functionality for users. Because there are so many different uses for computers, there are a correspondingly large number of application software programs.”(Rainer, R. K. & Cegielski, C. G., 2011, p.460) For our small, brick & mortar, nostalgic record store I have chosen five of the application software that would work well for our business and help us increase our productivity and success. This proposal will outline the benefits as well as the drawbacks of the five chosen software programs to make working with them more easily but efficiently at the same time.
Information System Proposal
1. Personal Information Management
The first application software that would work well for the small record store is the Personal Information Management. Microsoft Outlook could be one option to create and maintain calendars, appointments, to-do lists, and business contacts. Outlook mainly focuses on email handling but has loads of personal information management tools as well, like the calendar, task pad, reminders, contacts, etc. These functions are as handy as sending, storing and receiving emails. When integrated with Exchange, calendars and inboxes can be shared, creating a neat and pleasantly familiar setup. Outlook is easy to use and therefore used by many. The drawbacks of Microsoft outlook are:
a) It costs money, which can be a burden to a new business. As for 2010, the cost of the package was several hundred dollars. Many times, there are free alternatives providing the same features and functionality, such as Mozilla’s Thunderbird. b) Many people that are not familiar with application software could feel overwhelmed by the amount of functionality. To many, Microsoft Outlook provides too much functionality making it difficult to use simple functions such as email and schedule. Many commonly used features may be obscured or hidden because of the number of features available in Microsoft Outlook. (D., 1999-2013). It could take some time to become familiar with the program, a necessary evil to get started with the business and use the advantage of the ability to organize appointments and contact lists, especially for a record store which plans to be connected with other small record stores worldwide. 2. Data Management
Another important element of setting up a good work environment is organizing data. With the help of FileMaker Pro, it will be easier to store, retrieve, and manipulate related data, which means that a database will support our work at the office every day. FileMaker is the leading, easy-to-use database designed to get started on it easily, especially for people that are not used to working with databases. Scripting and programming with Point & Click scripting language with over 130 script steps allows users to easily automate any task. Programming expertise is not required! FileMaker makes aesthetics a top priority, and there are many colors, shape, style, font and other adjustments available. A new user might find FileMaker somewhat more difficult to navigate, as they have kept the button clutter to a minimum on the navigation bar. Access, however, squeezes nearly every possible function into its interface. In addition, with the plan to go online with our business as well it is important to recognize that FileMaker is also helpful when creating a database for...
