CHAPTER I

THE PROBLEM AND ITS BACKGROUND

1.1 Introduction

The rapid advancement of technology has resulted to a huge variety of opportunities in both human growth and lifestyle. It has brought a new level of knowledge and information sharing that became the new standard in the industry. Information Technology has been an effective way of transmitting information and is a necessity in retrieving important information as well. Breakthroughs and researches have demonstrated wide advantages in the field of Information and Communications Technology, thus advancing the unity of instinct and ideas. We used the term Information Technology or IT to refer to an entire industry. In actuality, Information Technology is the use of computers and software to manage information. In some companies, this is referred to as Management Information Services (or MIS) or simply as Information Services (or IS). The Information Technology department of a large company would be responsible for storing information, protecting information, processing the information, transmitting the information as necessary, and later retrieving information as necessary. Another term associated IT is ICT or the Information and Communications Technology. ICT is described as an umbrella that covers all the technical aspects and means for data processing and communicating information with the techniques in storing and processing information like computations and data storage. It has its own version of economic growth of technology that satisfies the needs and wants of the community and its people overtime. In an educational institution, the registrar plays a big role in the transaction of getting rtecords of students from the school. The registrar is the person-in-charge of keeping and issuing of records of students such as Form 137-A, Certificate of Graduation and Honorable Dismissal. Dr. Felipe De Jesus National High School that was located at Agnaya, Plaridel Bulacan, under the supervision of the principal - Mrs. Atancia B. Gumabon.The school is an educational institution, which its primary objective is to provide a quality education and service to students. Today, the school caters more than two thousand eight hundred students with massive increase per school year. In this light, the school registrar is having a hard time in managing the students’ records. The current process is done manually wherein there are forms that are distributed for the student’s adviser to fill out. These forms are compiled in a cabinet and sorted according to year and section. The registrar uses a spreadsheet where she encodes student’s average grade from the eight subjects each quarter and then evaluates it at the end of the school year. The student’s informaton is distinguished according to their name and section. In the case of graduates, they are identified according to their name, section in fourth year and the year they graduated. For the undergraduates such as students who transfrred, retained and dropped-out, they are identified according to their lasy year attended, name and section. They are having problems regarding the release of reports and forms because of the bulk of the files taht is stored in the cabinets. The files are too many and they are having a hard time searching for the files they needed. Because of the problems encountered by the registrar, the researchers proposed to have a Student Information System for Dr. Felipe De Jesus National High School to lessen the burden from collecting, encoding, distributing and producing of reports of necessary student data. In this setup, the registrar no longer has to encode the grades of the students one by one. Instead, the advisers do the encoding of the grades of the students. The proposed system prevents bulk of files stored in cabinets through the use of a database.
