ABSTRACT

The outcome of the Hotel Management System for Travellers Hotel will be based on the specification of a computer database management system.

The analyst has noted with concern that manual booking of rooms and reservations has made the hotel to become unable to keep with the pace of the increasing demands of its rapid growth.

The hotel has been operating under a manual system of filling, allocation of rooms and retrieving documentation. This has affected the costs of the hotel in different areas including: ➢ Lack of confidentiality.

➢ No backup exists to support disaster recovery
➢ The manual system produces a risk of missing files which causes lost income. ➢ Slow retrieval time resulting to delayed or lost income. ➢ The system is labor and space intensive

The automated system will provide the appropriate mechanism for:

✓ Saving records.
✓ Easy reservation input.
✓ Optimal return on rooms by providing flexible rate configuration and maximum room occupancy. ✓ Capture additional guest information through hotel configurable fields. ✓ Provide confirmation letters and pre-printed registration cards. ✓ Maintain wait lists.

✓ Create efficiency.
✓ Enhance effective service delivery.
✓ Ensure proper control.
✓ Improve productivity and performance among employees.

The need of this system is to streamline some of the problems that were being encountered in the hotel due to its reliance on the manual operations, which were prone to large quantities of paper work, time consuming and also cumbersome.

The to- be developed system will enable workers to work efficiently and reduce the operational costs within the hotel and thus provide an outstanding customer service.

INTRODUCTION

Traveller’s hotel is situated within Eastern Province in Machakos district. It has its head office located in kathiani town where all operations are carried out.
