CHAPTER 3

Project Conception

The system aims to improve the flow of enrollment period it includes the registrar office which acts as the users in all responsible for handling student’s records. Before the users can access this system, they should have to log-in their respected user accounts. After logging in, they are now ready to accept transactions. At first, students will go to the registrar to get pre enrollment form, fill-up the information details. Students need to presents all the requirements including grantee note showing that they are Scholars or Non-Scholars from their respective Scholarship. In this procedure, the Registration Office will have an interface in which the user will open the file of the school and check whether he/she is a freshmen or Old student base in year level.

If he is a new student, the user will add a new record but if the student as an existing record the user search the ID number of the student then save in the database and fill-up the statements of Registration form that will come out with necessary information( name, course, ID number, amount fees, etc.) needed.

Statement of the Problem 

 
The Bacolod City College is using a manual system for their enrollment facilities. The inaccuracies of information were minimal, like the identification of units per semester and sometimes the registrar personnel were making a mistake with the number of units but the possibility of encountering a more difficulties and tedious task was still at hand.

One of the problems that the institution would like to include in the study was the lack manpower in that certain department. In the Admin office or even the cashier, BCC only had (how many personnel) to accommodate the students during the registration for their enrollment. The outcome was that the school had a hard time in accommodating those large numbered students, and that made it hard for other students to wait in line. Another problem of the school was the generation of forms. The students needed to fill-up the registration forms for the copy and record of the accounting office, the registrar and for the student themselves. Students were consuming a lot of time in doing such. Since the students are manually filling-up the official documents of the school, data redundancy has a great possibility in causing further complexity in the enrollment process.

The purpose of the study was to access the registration for enrollment system of BCC and measure its level of efficiency, speed, quality service as well as the satisfaction effect afforded to the student, so that appropriate intervention of the service improvement shall be in place.

Specifically, this research sought to determine the answer of the following sub problems:

1. As rated to the BCC students, what is the level of efficiency, speed, quality service are the following procedure, under taken, thus: 1.1 Signing of clearance by the:
1.1.1 Teachers;
3. Office staff;
1.1.3 Administrator
1.1.4Submission of enrollment to the registrar
2. What is the level of satisfaction students have experienced on the overall enrollment system of BCC? 3. What are the various psychological and emotional impacts the enrollment system had over the students? 4. As identified by the students what are the possible causes of enrollment predicament of BCC? 5. How may the enrollment system be improved to achieve the level of satisfaction service to the students?

Significance of the study

The study is useful to a number of persons belonging to the different sectors of the academic community of Bacolod City College.
