1. What benefits do you think the Royal Australian Mint would expect from the system? The “changing information needs” of the management of the Royal Australian Mint resulted in the old system to become inefficient and time consuming. As new employees started replacing old ones, the usage of the old system also became confusing as these employees were not there when the old system was developed. Hence, developing a new system would make the company more efficient and a lot of the paper works of the company can be completed via the new system and it would reduce paper work. Being such a huge organization, the company cannot afford such inefficiency. Recording and monitoring different kinds of data about the company would also be computerized which would reduce manual labor. Thus, the company can expect to become more productive and efficient in their operations after the huge investment on system upgrade.
2. Based on your understanding of the article, what problems did the Royal Australian Mint have with its previous system?
The previous system was making the operation of the Royal Australian Mint quite inefficient over the years. As a new workforce was replacing the old employees they could not quite understand the old system as it was developed during the time of the old workforce. Manual processing of annual leave applications of employees were very time consuming and required a lot of attention. More people had to be employed in that sector. As the company has a massive workforce, tracking the working hours of individual employees was not possible. As employees had to manually design their own system such as the spreadsheets, it was less efficient. Overall, the company was lacking efficiency and productivity when using the previous system.
3. Why do you think the Royal Australian Mint had each business area map out their process as a part of adopting the new system?
The Royal Australian Mint made each of its business areas map out their process as part of the system development process. By doing so they were able to analyze how each of these areas are operating at present, what problems they are facing, what improvements might be needed to be made in each of these sectors, and so on. Hence, by identifying the problems they were able to decide what changes needed to be made and what features the system must have in order to make their organization more productive and efficient. 4. When a new system is developed and implemented it takes time to adjust to it and understand how it works. Therefore, different areas of the company may face problems understanding and operating the new system resulting in inefficiency. Also, as majority of the paper work of the company is computerized in the new system, if system failure occurs the company might lose all the documents if they do not have the back up. Training the staff about how to use the new system would incur an extra cost for the company as well.
